Academic Registry uphold policies and processes relating to student administration and manage key corporate events including Enrolment, Examinations and Graduation.

Interim Head of Academic Registry - Dr Claire Baines

Responsible for the overall management of the Academic Registry. This department is both the Business Lead and the Sponsor for various projects across the University.

Student Records and Timetabling

This team is responsible for:

  • The planning and delivery of the enrolment event.
  • The development and maintenance of administrative processes to upload data quality for the HESA return.
  • The University timetable, the Facility Timetabling system, main exam scheduling and non-academic room bookings.
  • Council Tax
  • E-Arch processing
  • Course Start dates
  • Verification of academic qualifications and study at NTU via the Online Store.
  • Higher Education Degree Data check (HEDD), which is an online verification service for employers and agencies to verify Nottingham Trent University awards.
  • The development and maintenance of the Higher Education Achievement Report (HEAR). This electronic document records your academic and extra-curricular achievements during your time at NTU.

Examinations and Graduation

This team is responsible for:

  • The central co-ordination of administration for the delivery of Half Year, Main and Resit examinations, including the upkeep of the Student Exam Guide.
  • Working closely with the Schools and Student Support teams to ensure students with Personal Exam Plans (PEPs) have their provisions in place for the necessary assessments.
  • Administering approximately 300 examinations per year outside of the Half Year, Main and Resit periods at the request of the Schools.
  • Managing the development, training and appointment of a pool of approximately 170 Invigilation staff.
  • Managing the end-to-end process for the University's graduation ceremonies taking place in summer and winter from planning attendance and managing ticket sales, through to production of the ceremonial brochures and event management on the day.
  • Managing and updating the Graduation webpages, Creating and producing over 8,500 certificates per year for both NTU and collaborative partnerships across the globe, including replacement certificates via the Online Store.

Policy and Regulations

This team is responsible for:

  • The Notification of Exceptional Circumstances, Academic Appeals (including Requests for Reconsideration), Academic Irregularities and Student Complaints procedures and policies.
  • All Tier 4 related procedures, policies, queries and compliance with the UKVI ((UK Visas & Immigration) regulations. Liaison between the University and the UKVI and safeguarding the University's 'Tier 4 Sponsor Status'.
  • Providing professional committee servicing to the Awards and Title Committee and a number of other University level steering groups such as Prevent and the Timetabling Steering Group.
  • Providing executive support to the Academic Registrar and the Deputy Academic Registrar.
